“For us, there were two critical issues in our search for ERP. One of them was the belief of the firm to us, and the second one was to reach the solution quickly. We believed that we could solve both with IAS”. This is how Mr. Turgay starts to tell us his successful experience with caniasERP.
Could you briefly tell us about E-ENERJİ?
E-Enerji was established in 2002. It is a company, which focuses on IT, Telecom and High Technology, providing support on the subjects of Consultancy, Engineering, Technology/Strategy Building and Implementations for companies leading their sectors.
With the establishment of the Firm, our first successful project was on the security of UYAP’s Data Processing System. We built the first retina scanning security system in Ankara. Then, we were engaged in some projects on the telecommunication sector of Algeria. In 2004, with Turkcell’s decision for making investments in Ukraine, we were involved in a project for establishing a station for Turkcell. Then, we returned to Turkey and in the final quarter of 2004, we worked under the search of MTC firm for consultancy, we performed studies for TELSİM on technical previews and evaluations, and within a short period like 3 months, we created a business plan for the selling of TELSİM that resulted in a 4.5 billion dollar sale. Simultaneously, we were engaged in a comprehensive project for Ericsson, covering 2000 areas. Right after this project, which we have completed successfully, Ericsson decided to give us some of its engineering resources. Again, simultaneously, MTC stated to us that they have a new operator and that they would like our support for the post-sales management of the operator, with this project, we managed various other projects for MTC from 2005 to 2008. With these projects, we have strengthened our co-sourcing and consultancy areas. Now, as well as Ericsson, we have Consultancy and Resource partnerships with Philips and IBM. We also have our consultancy projects on operations and business support, one of which is being performed for Turkish Telecom now.
We are supporting engineering subjects with another company of ours, ETC.
When did you need an ERP system and how did your search begin?
When you look at it, we are actually an engineering-based firm, and with the increasing number of projects, we began thinking about how we could lighten up this work load. We especially had serious difficulties in resource management. Also, we needed automation for customer management and for regularly received reporting. We decided that we could solve this with an ERP system.
How did you first meet with IAS?
After our researches, we met IAS at the last quarter of 2009, then, we were introduced to IAS’s solution partner in Ankara, Bütün Bilgi İşlem. Before our decision, there was a training organized by Bütün Bilgi İşlem. We sent one of our consultants to this training, found answers to all our questions, and decided to walk with caniasERP. We had had two major criteria for the selection process.

What kind of contributions has caniasERP made for you?
At first stage, we decided to activate resource management with a portal and the portal was created about a period of 1.5 months; I can say that we have activated the system in live mode 2.5 months after our agreement with IAS. At that time, we started with 100 portal users; it was a very demanding work to accomplish this in a short period like 2.5 months but we have easily overcome this, thanks to caniasERP.
With this portal, we have basically solved 3 issues. First of all was the monitoring of all advance payments on the personnel; the second one was the monitoring of items of the personnel such as leaves, reports, resignations, recruitment etc.; and the third was monitoring of processes such as travels, delegations etc. I would like to add that IAS was always very much involved with us during this process, and they were in an approach to present suggestions for solutions. With Bütün Bilgi İşlem, we easily materialized these suggestions for solutions.
We had serious gains in terms of time with caniasERP. With caniasERP, we have also removed our material losses caused by manual errors. Looking at the periods before and after caniasERP, I can clearly see that we can perform our businesses with the same staff although our volume of work has tripled. If we look at the point where we are now; our partners, our employees, and us, the managers very much believe in the system. We are carrying out all processes, which had been previously performed manually, now with caniasERP ERP, and thus work with almost no error. Before, all these processes were kept on Excel and subjected to substantial network of bureaucracy. Now, we are performing everything completely on the system. We had serious gains in terms of time with caniasERP. With caniasERP, we have also removed our material losses caused by manual errors. Looking at the periods before and after caniasERP, I can clearly see that we can perform our businesses with the same staff although our volume of work has tripled.
I would like to tell that IAS is very good in training. We have sent some of our engineers to both TROIA, a software language, and caniasERP Basic Consultancy Trainings and have benefited significantly. TROIA especially is a very easy software language. It is very easy to learn.
What are your goals on caniasERP in the future?
Human Resources module is our most used module. We are planning to develop a structure that would allow employees to get their salary extracts self-service from the portal. Then, we aim to focus on product phase and move forward with caniasERP especially on stock control.
It is hard for people to quit their habits, particularly in professional life. Have you faced any user resistances during the implementation of ERP system?
On the basis of the thing called “system”, there is actually a control mechanism; therefore, it is very normal to face user resistance. However, when you impose that everything has to be performed over the system, the employees get used to it day-by-day and then you can break the resistance.
Taking your experiencesinto account, what would your recommendations be, for a firm that plans to implement the ERP system?
First, companies must not change their goals when they see the capacities of the ERP system. If they do, they might get lost on the way they embarked on. Because the system gives you so much opportunities; you might get desultory. Being goal-focused and moving step-by-step seems like the best process to me. Also, consultation support and trusting the ERP company is critical. For example, we don’t need an employee, who knows caniasERP up to its tiniest detail.
